Data protection privacy policy

FitFor respects your privacy and pledges to maintain the confidentiality of your personal information. Your information is collected through forms, either via paper or online, and is stored in your personal profile on our database systems. Your personal data and information will not be passed on to a third party without your express, written consent to do so. All personal information you share with us is maintained in accordance with Data Protection Act 1998. FitFor uses additional Apps and software to create and maintain additional information such as exercise programmes and track exercise outcomes. FitFor will ask your consent for this but does not accept responsibility for the handling of this data through these third party platforms. Payment Policy

· Online payments may be made by Visa credit, Visa debit, Mastercard credit and Mastercard debit, and American express at the time of writing.

· FitFor uses MOMENCE online client management and booking system (https://www.momence.com/) for all appointments, exercise and product bookings, purchases are made through Stripe payment processing (https://stripe.com/gb).

· FitFor is registered with and fully compliant of Payment Card Industry Data Security Standards (PCIDSS).

· Online payments for all appointments, services, products or classes are made at the time of booking/purchase.

· Full payment for the relevant service(s) shall be due at the time of purchase.

· Purchases of all products are for collect in store only. FitFor does not offer a delivery service. After you order a product online, FitFor will contact you within 48 hours to inform you when the product will be available for collection.

· Members signing up to a membership must make payment by debit or credit card only and must prove their identity, address and right to use the named bank account they propose payment to be taken from. This can only be done by providing :

o   1 proof of photo ID e.g. Passport or Driving Licence only

o   1 proof of address: Driving licence, Bank statement or utility/phone bill within 60 days old

o   Proof of bank account (named person on bank statement or debit card with valid account details)

o   The above must be provided at least 1 day prior to membership autopay start date

Membership Contract Terms and conditions

From 1st February 2026

Contract Terms

Rolling contracts

  1. Rolling contracts are 2 months minimum initial term. 

  2. The contract automatically renews at the end of the 2 months term for another 2 months. 

  3. The contract includes access to an allocation of bookable classes and appointments per membership term or per year

12 months contracts

  1. 12 (Twelve) months contracts are 12 months minimum term contracts.

  2. The contract automatically renews at the end of the term to another 12 months contract term.

  3. The contract includes access to an allocation of bookable classes and appointments per membership term or per year

Weekly contracts

  1. Weekly contracts are 7 days minimum term contracts. 

  2. The contract automatically renews at the end of the term to another 7 days contract.

  3. The contract fee is payable weekly in advance on the anniversary of the start date

Membership payments and dues

  1. All membership dues are payable monthly (with the exception of weekly memberships which are due weekly) in advance on the anniversary of the start date

  2. Fee increases to all memberships will be applied from time to time at the discretion of the Proprietor - all members will receive notice of fee increases in writing with at least 14 days’ notice.

Membership Cancellation (Termination) and Freezing

Cancellation (Termination)

    1. Clients may cancel the contract at the end of the initial contract period only providing 30 days’ written notice.

    2. FitFor allows termination of the contract at the end of the initial contract period - if notice is given on the start date. Such notice will be required in writing as per the below

    3. We will allow a 14 day cooling off period prior to the renewal date for 12 months contracts only.

    4. Contracts may only be terminated within the contract period for the following reasons:

      1. Pregnancy (confirmed in writing)

      2. 3 months’ continuous unemployment - proof required (proof of claiming benefits or date of redundancy)

      3. Illness or injury resulting in the client being unable to reasonably exercise (medical letter required - we will also accept instruction from a FitFor physiotherapist)

      4. An admin fee of £25 will be applied to the above

Freezing (Applies to Rolling memberships beyond the initial contract term only)

    1. FitFor allows 1 (one) period of membership freezing up to a maximum of 30 days in any 12 months period. 

    2. Additional freezing periods will incur admin fees each time of £25 payable at the time of setting the Freezing period

    3. The freeze and restart can be tailored to suit the client within the above terms and the 1 month period window

Notice of Cancellation

  1. Must be made in writing by email to enquiries@fitforgym.co.uk and the notice period commences at the time of receipt of the email subject to the below being completed correctly.

  2. Notice period for contracts

    1. Rolling - 2 months

    2. 12 months - remaining period of contract less one month

      1. There will be a 14 days “cooling off” period prior to the contract renewal date allowing the client to change to a rolling contract if they wish

      Following a cancellation request, the client will be offered a freeze membership option with a set Un-freeze date. Freezing must comply with the cancellation/freezing notice terms above

  3. For cancellations - All clients must then complete a cancellation intake form

  4. For freezing - Clients will be emailed with confirmation of the agreed dates and updates to their contract.

  5. A cancellation admin fee of £25 will be charged for any cancellation within a 12 months’ period of the membership start date

  6. A freezing admin fee of £25 will be charged for 2 or more freezes within a 12 months’ period of the membership start date

Late cancellations & no-shows penalties for Classes & appointments (included in membership)

From 01/02/2026

All clients will be charged a charity donation fee of £5 within any membership month period for

Classes

  • 3 or more no-shows and/or

  • 3 or more late cancellations

Appointments

  • 1 or more no-show

  • 1 or more late cancellation

    A late cancellation is defined as a cancellation falling outside of the cancellation window (Cancellation of less than 12 hours prior to the start time for classes and for appointments). A no-show is defined as failing to turn up to the class or appointment without cancellation.

  • The donation will be made to a nominated charity of FitFor’s choice within a reasonable timeframe not exceeding 3 months.

  • The charge will be automatically applied once the threshold has been reached via the card details of the member held on our booking system

  • Roll call for classes will be completed by the instructor - clients must ensure they are checked in to all relevant appointments and classes

  • In the event of doubt or without appropriate evidence regarding any of the above contract terms - FitFor’s discretion and determined outcome shall be final.

Appointment and Class Booking policy

1.     As of 01/01/2026 booking windows for classes or appointments vary from 5-30 days subject to your terms of access limited to your status or membership.

2.     Bookings by clients are made in good faith and full intention to attend.

3.     Clients who are unable to attend a pre-booked Class must cancel the booking at the earliest opportunity and no later than 12 hours prior to the class start time.

4.     All appointments may be booked up to 90 days prior to the appointment date and time.

5.     Cancellation of appointments must be made no later than 12 hours prior to the start time of the scheduled appointment.

8.     Cancellation of appointments or classes with less than the required notice will result in a cancellation fee equivalent to the full fee of the service be applied to all appointments. If a client is using a pre-paid booklet for the service, the equivalent of one appointment or class shall be debited. If the client is a member, the credit for the appropriate class or appointment will be debited, and in addition;

Appointment & Class Cancellation Policy

1.     Cancellations of appointments and all classes must be made 12 hours prior to the scheduled booking to be eligible for a full refund or credit. Rescheduling will be offered prior to refund unless the client requests a refund. Following accepted cancellation – a credit will remain on the account unless a refund is requested or until another service has been purchased.

2.     Cancellation of classes must be made at least 12 hours prior to the scheduled booking. Anything cancelled after this period will not be credited back into your account.

3.     No refund will be payable for cancellation notice that fails to comply with clause 1 above.

4.     Rescheduling of appointments cancelled with less than the required notice will not be possible. A cancellation fee equivalent to the full fee of the service shall be applied.

5.    Gym members cancelling free gym classes (included in the membership) can be made up to 12 hours prior to the class.

6.     Members who fail to cancel classes within the terms of clause 5 above or no-show 3 or more times within any memberhip month period will be charged a £5 charitable donation fee.

Class and Appointment Waitlist Policy

1.     Waitlist features are available via our booking system for both appointments and classes. This is populated in chronological priority order, whereby the first client added to a waitlist takes priority should a cancellation be made and a slot become available

2.     When cancellations of classes are made, the next available priority client on the waitlist will be notified by text message and required to confirm (replying YES) attendance of the class within 10 minutes of notification, if confirmation is not received or NO is replied, the available spot will automatically be offered to the next client on the waitlist. Clients can see their position on the waitlist via our FitFor App.

Returns and Refunds of Products Policy

Products may be returned to FITFOR for a full refund only if all of the following apply:

1.     within 30 days of purchase

2.     with a valid sales invoice

3.     and the product is returned as sold with all packaging intact
